I have created a mindmap on ideas that I would like my event to become I have pick these ideas as summertime is coming up and I would like our topic to be based on a outdoors topic so we have come up with these 6 different types of genre that would be studied for the summer time event.

Bristol Balloon Festival-

For my first idea I have came up with the benefit idea of have a balloon festival  

Positive- 

We would be able to advertise Boomsatsuma onto the balloon the website can be also show onto the balloon festival as well given the media cause of boomstam free advertising. To show when  we hope to plan setting up soon. 

Negative- Our problem would be getting the location we would have to find a space big enough for the balloons the fit and also well as getting in food trucks before we would all do this we need to get permission for the location  is it would be ok to have  our balloon Festival.

 

Arts and Entertainment 

I have included this on my list because as we are a media group and entertainment would be apart of media my idea is to have some type of concert charity event we would get in bands to play in our location we have pick this would bring in money to donate to the chatiy while we are able to help promation the band who is playing as we can also have that as evidence on our wix page.

Negative- Would be not able to get engought band s to play in our location or either they would what to be paid if they were in a charity event.

 

Chocalla 

I have chosen to do chocalla I this because I have my fear of knowledge of what type of festival it would be  like and my ieas would be to have a bristol version of that idea the type of festival as cocalla is a music festival.

Target Audience For Balloon Festival  

Ashton Court Estate google 

A)Purpose

The Purpose of the event is to entertain audiences of different ages with balloons, games and rides, as well to enjoy the outside air. Also to have one a year during the summer, as many would be going outside looking for something to do with their children and family.

​

B)Content 

Content- What’s in the festival?   

The festival would include the main idea which would be the balloons, other extras would include vans that can sell food and sweets, and that can be sold to the public at the festival and as well. The festival runs from a Thursday to Sunday, where there is a balloon night glow to show off the balloons.

​

C)Target audience

Their target age groups are females who are the age 18-24  who would be the most active and would most visits  to the  festival this is the age were they would have a job and learn how to drive this would  give their monthly spends around to be around £125 each mouthy as she would not have any children to be taking care or so there she would have enough time to spend by herself.  

​

D) Design and style 

The  design style can be based on  their location and the balloons can include the  poster as the part of the style.

The cost would be on the style of program they might use for the  poster so this would be using photoshop where they have to think of the cost of each mouth  either to  have to take a photo themselves to avoid copyright form google.

​

E)Location  

At Ashton Court Estate, this is the place where the balloon festival would be held, the area shows how big the place is and can give easy access for the balloons to fill up with air and as able to have a big enough place to have lift off so that nobody can get  hurt when the balloon gets lifted up the the air.  

​

Location- As  the festival is active this would also include games that’s fitted for children the ages of 8-10 that would be as most rides would be limited for them to be using. As Ashton court is a large place different events would be held around parts of the field due to being so big. This is a benefit as there is enough space to hold other events other than the balloon festival.

​

Does it suit the event? 

Yes, as the area is big enough to fit the audience and the stacks of balloons that would visit the area. I notice that area is also big enough to have food trucks that can supplies to hungry customers.

​

Easy for attendees? 

Ashton Court would be an easy way to get there by either taxi or car as the journey would be quite far for any one who would decide to walk. 

​

F)Suitability  

Suitability- The festival would be suitable for my target audience because it’s going to a big open space to visit a live event and as well to visit other games and actives that would be held during the event.  Because of the event being held in the summer and the location being very familiar to few this would be much easier to bring out everyone outside to the weather. Especially when its nice outside. This is therefore suitable as if those females had children or families there is enough space for everyone to fit, including activities for all ages.

G)Legal ethical issues

What could go wrong? 

​

Copyright- This can cover from  intellectual property to the music industry. The festival would be avoiding any music that would be played in the festival to avoid  being copyrighted when published to youtube. 

Property rights- Would be Ashton court having to give rights in the beginning or the end of the event as they could be in big trouble if they don't ask the owner for rights to be there. 

​

Permission to film- When filming for our the event the organisers need to check with the owner if its ok to film in the property of Ashton  court,  as this may be posted onto youtube so before filming starts, I assume they will have send an email to ask permission to film the crowd. 

​

​

Legal/ethical- Would be to insure that the surface is flat so that parents who are pushing their child in a pram don’t hurt them self. This can be also for any broken glass on the floor this would be a problem as many infants’ children would be walking around on the grass that they would be able to pick up anything and put in their mouths. This would come under Health & Safety Act 1974 as the owners or workers should being doing this before the event happens. As for swearing there would be teens around shouting at each other with a lot of swearing as children could be around and pick up words quite quickly, although the event cannot stop this there will be security to watch over this.

H) Health and safety 

Would be to place tape around where hot air balloons would be landing or about ot be set off to the sky.This would benefit both the audience and the balloon owners so nobody would get hurt. To avoid any matters before hand all the balloons owners would have practice avoid hitting whoever may be on the ground this would be insured with smaller kids as they would be the most to be target when running around the field. They will also follow the Health and Safety Act 1974.

When rides are being put up the engineers have to make sure that all the screws are fixed in tightly  if buy  not properly checking them, the event would have a lot of insurance to pay and the this would be for these  who injured  themselves.

Be able to contribute a the planning of running of, a media exhibit or events.Each team member taken responsibility for planning at least one.

Legal and ethical requirements

What we have decided to do was to ensure our final project would be covered by legal and ethical issues such as permission to film, Royalties, Violent offensive language/ behaviour / material etc. In each paragraph I will be covering why I have picked these as my legal/ethical issues.

 

Location release form -

​

Before setting up the event inside our media class, we have to get permission from our teacher (Reece), this is just in case the classroom would become booked. Or our teacher would become unavailable and need to find a different teacher to cover.

​

Permission to film- if we were to film inside the media classroom and were to upload to YouTube we first need to get permission from those who show their faces for example, if of the class didn’t want their faces to be showing we would have to ensure that they were not in the camera shot or blur their faces out. For these who would want to be in it, we would have to use a model release form.

​

Offensive language/ behaviour- when we are giving out awards to students we have to keep in mind what we say before giving them to students, such as being racist or being stereotypical, within speeches .Behaviour would only happen during the given speech examples such as: 

​

  Disruptive behaviours’ such as being out of seat and calling out in class, swearing and screaming or even refusing to follow instruction etc. .Many of these could happen during the award show, so a way I will make sure this won’t happen is by Stewarding the event and rending any disputation from the audience. 

​

Logistics and Procurement

Will include our target audience, role allocation, advertising and catering. As we are hosting on awards we need to make sure that we have sorted out what we could need:

Advertising- if we were to advertise around the classroom we would include poster design as a way to inform other students in the media class that there will soon be awards being presented. We will also use direct mail to invite these students.

​

Catering- As an event we may include basic food (crisp, drink sandwich, biscuit) due to the class having 18 students in one room all day what we may need to look out for is allergies incase many students have reactions to the   food. 

​

Target audience-

Our target would be those who may be leaving for school either in secondary school or college. The main ages would be 16- 19 years old. I think that this would them the most think having awards would be more relatable.

Role allocation- in our group everyone would be pick different roles that will be played in our group to help create our end of year award roles be these include:

- Handover awards

-Filmmaker

- Control Presentation

- Setup of Balloons and Banners

- Managing catering

-Keeping it all to schedule

 

Theme:

At the ‘End of Year awards’ for the students at Boomsatsuma the theme is going to be quite simple, but it’s also going to show off Boomsatsuma taking from their colours that represent them.

There will be orange and black balloon that make it quite simple, but adds to make it look like something is happening and bunting to top it off. The bunting will also be orange and black.

 

Hospitality and catering:

As we are running an event and there will be 18 students including teachers, we will provide snacks such as; sandwiches, crisps and sweets. Before providing the snacks, we will have to check around the students to see if any of them have allegories.

Regarding drinks, the Cabot Eye has a coffee and tea facility that the students can get a drink from or if they didn’t want any of that, they could all bring their own drinks along.

 Budget

Our budget shows what we would using for award ceremony in my group there was one person who has created the budget include the price from different website as well with balloons that we would be placing around the media classroom. Are overall total comes to be £1727 due to most of the equipment being expensive.

​

  • Dell Computer = £700

  • Dell Projector = £300

  • Projector screen = £39

  • Balloons = £6

  • Invitations = £25 – 50 printouts 

  • Cannon 700d = £532  

  • Manfrotto Tripod =£35

  • Lavalier microphone = 15

  • Tascam DR-05 voice recorder = £75

 

Total =  £1727

Venue design/plan

Photos like these show what are design plan would be in our media class for example what the chairs would look like and it would be easier to go through when collecting the awards up front .

Other photos show our group setting up the chairs getting like them to be in format before the event would begin.

Decoration on the chairs would be displayed balloons, (black and orange) as our decoration we did this to make our venue look to a good quality.

Set design 

We will keep all the chairs in a line but spaced out. What we will do with the colour code in   the venue is to show what is available. The blue shade is where the audience will be seated the peach colour is where the stage is which is looking over the crowd and the last part that is shaded is the space that is unavailable, this is where the computers would be. 

Relevant Risk assessment 

In the word document shows our risk assessment things that may happen during the award ceremony or even before such as:

  • Loose wires

  • Liquid spill

  • Dropping of equipment

 

I these would be important as risk like these could happen anytime during the ceremony

Event Planner 

The boomsatsuma end of year awards will take place on Friday 6th of July at 2:55pm.

 

The day will go as follows;

 

2:55pm – 3:05pm Preparations and pre-show.

 

During this time, we shall make final set design decorations like the balloons and banners and we'll also rearrange some seating.

 

3:05pm – 3:10pm Event introduction.

 

Now once everyone has been seated, our lovely host will begin introduction the event. This will include a short overview of the awards and how it will have structured.

 

3:10pm – 3:40pm Main award ceremony.

 

This is where our host will hand out the award certificates. Each award will last around 3 minutes or so.

 

3:40pm- 4:00pm Wrap up event closing.

 

Here we will end the whole event this includes escorting guest out and tidying up the stage

Did you push yourself to do another role?

 I helped take out tables and place them outside this would be given more room for us to set up the chairs inside the media classroom but beforehand hand, Id taken off all paper work bags and any other metal that could lay on the table.

 

Did you make any suggestions to help improve the production?

In the group I was in I didn't make any suggest although I would have liked to make more suggestions such as include a PowerPoint that me or one of the group would put together or include more certificates as many never received some.

My topic that I have been doing within P2 of unit 23 is what I’m counting within P3 as furthermore analysis. My contribution to my team is to write the legal and ethical requirements and its and logistics and procurements. I did this to cover what may happen with legal and requirement such as what may happen in the award ceremony:

I followed this from the unit booklet giving me ideas that I can use to share with my group, I have also shared with my group the logistics and procurement again. I have got my information from the unit booklet such as:

I have used what  I have found on the back of the unit booklet and used the information that I have given which help to understand what I am talking about allowing me to extend my work.

Unit 23 P4 Final media exhibition 

Learners gain feedback on the final media event. 

Well done for all the hard work you put into the awards ceremony yesterday. It was great to see everyone have a laugh and be rewarded for all the effort they have put in over the last two years. You did a great job of organising the whole event from the venue design down to the certificates. There was a range of awards that catered for all attendees and also a good mix of humour and achievement throughout the event. The colour schemes of orange and black worked well with the event and I felt it was important how you setup the room with isles of chairs so that your attendees could easily move around. Lastly, the photography of the event looks excellent. It is important with these celebratory events that people have memories to cherish, especially for those who won awards.

Own opinion what worked well/not so well?

What worked well was the design we planned such as the balloon layout with the chairs, and as well as laying out the chairs in a certain to face the the screen.

 

What went not so well?

I think that not enough certificate were printed as many did not receive their awards. What also didn’t go to plan was the catering and hospitality as we found certain food that we had wasn’t either suitable for vegetarians or vegan, leaving a few out to unable to eat the food.

 

Did their exhibition/ event run to plan?

I believe the event went smoothly and went to plan, the event went a little quicker than we expected but we finished with the majority having their own award.

 What did the feedback say

We received our feedback from our teacher (Reece) which said to us that the event went well and that we have done a good job of organising the certificates. One of the feedback has told us that we have done a good job with the humour from the class as we didn’t want to have to audited it to feel restricted.

​

 Are there any possible improvements that can be used for futures exhibitions /events?

What we could improve is to make sure we have to the enough certificates for any futures events and as well to have a powerpoint to go with it as well, as my group never had any to show the class. If we were to decorate the entire media class we would have bring in personalized banners that would have the boomsatuma logo and colour scheme.

Appeal to audience

Our event appeals to our audience as it was an end of year event we planned something that would be a good send off towards them, therefore this is why we created an end of year award for our media class. The event showed films that were made in response to the certificate given, this allowed students to watch old work.

Did you contribute?

I have contributed towards taking photos alongside the awards taking place. I also contributed to taking tables and chairs away to make some more room. My reason behind this was because we were going to place down chairs to set up in the media room so we had move the tables outside the classroom. I coordinated this, and told people where to put the tables outside, I had to use my risk assessment to ensure they were placed safely.


Would you do anything differently next time for yourself? 

What I would do is either ask what I can do or find something to do as my task. I felt I was not doing  much due to my communication skills  with the group I was with. For my skills in communication to improve I will work alongside someone in a group who is a strong communicator that I can shadow. This will help me because it will allow me to be more talkative and pick up on skills from this person. 

Do you feel as though you did enough? 
In my group I felt as I did so much as the group I was in was much bigger than I would have normally worked with. I for next time I wish to be on top of my feet and find something to do instead of waiting around. 

 

Overall did you think the event was fit for its purpose?

Yes, due to the school year coming to an end everyone in the class would start leaving and having events this was a good idea as it shows what people have achieved over the past two years.

 

Did you follow your project plan for the day?

My groups followed the plan throughout although the event ended when we didn’t expect, the project plan went well. The project ended at 11:30 but it was meant to end at 3:15pm

What went well?

The set design went to how we planned it, the timing went a little quicker than we thought it  would have gone this was good thing as my group had enough time to put  all the tables and chairs in the right order plus allowing us to  use the information we gained to put on our Wix site.

​

What went wrong?

Everything ran smoothly in our production and not a lot went wrong, just that we have used the boom logo as our background shining from the projector, this caused a bit of a problem where the computer kept shutting down and the teacher (Reece) would have to stop presenting to log back into the computer system to reaper the boom logo.  

 

What are your skills?

Skills that I’ve picked come from with my skills within the production team include:  

  • Set design ( good organisation to understand the room and listing skills to be able to listening to the director )

 

​

-Time management: started on time and ended a little off time this is a bonus as we would have enough time to pack away the chairs and tables and in the end to put the chairs and tables back where we got them.

 

-Listening to the director, presenter – this would be to make life easier for the director and presenter as they both would rely on me to carry out a simple task during the event so they don’t have to do as much as they have other team members to carry out other job roles.
